Conventions on logging time
The purpose of time logging is financial monitoring, not staff monitoring: we want to track the costs and therefore the profitability of the jobs (= "projects" in Vodoo term) we perform for clients, as well as the time-cost of a number of activities that are not invoiced to clients but for which we allocate budgets.
Following from the above, staff are not required to log all their time at work. Some wish to do so, for their personal monitoring, and this is okay too –- for this purpose, we have included the ‘Inbox and sundries’ task in a number of Z projects (i.e. internal, non-client projects).
Time spent on a specific job must be logged selecting the appropriate Project (e.g. "PIRLS21FT") and the appropriate Task (e.g. "Passages fra-BEL"). Additionally, a description may be entered in the Work Summary field (e.g. "Initial feedback to verifier").
When time cannot be allocated to a specific job, choose one of the seven “Z” Projects described below, and then the appropriate Task.
They are not written in stone; as we go along, if anyone finds that a favorite activity is missing or is inaptly named, etc., you’ll be welcome to ask Andrea for an amendment.
Z-projects
DO NOT create new Z projects nor new tasks under any Z projects.
This is a new one, designed to capture the work done mostly by MGMT and SUPPORT staff. Adrien, Jan, Savita, Steve (and later Musab) will log most of their hours here.

The front office is the "face" of the company and is all the resources of the company that are used to make sales and interact with customers and clients. Back-office includes functions such as accounting, planning, inventory management, human resources and logistics.
As of 2020, the plan is to set up and monitor a budget for Back-office like the budgets for BUSDEV, MARKCOMM, R&D/TRANSLTECH, R&D/PROCESSES, PERSDEV.
This is for time spent on a formal personnel development activity (course, program or event), including e.g. a course that the company has agreed can be taken during office hours within the framework of a PDP.
This is designed to capture the work done mostly by OPS staff on Operations “in general”, i.e. work that cannot easily be assigned to a specific job (= "client" project).
This is for R&D work focused on devising new processes or improving existing ones, outside the domain of translation technology - including administrative and back-office processes, with a view to improving efficiency.
Adrien, Andrea, Danina, Jan, Shinoh, Steve, Valentina are regulars. In addition, when e.g. the Vodoo implementation team asks anyone else to contribute to a Vodoo activity, they should direct the staffer to log hours here, indicating which Task and Description to use.
Devasmita logs most of her hours here, and Steve, Ben and Musab are regulars. In addition, when the BUSDEV team asks anyone else to contribute to a BUSDEV activity, they should direct the staffer to log hours here, indicating which Task and Description to use.

This is for R&D work focused on devising new products/services or improving existing ones, in the domain of translation technology (assistance to linguists and PMs in their performance of translation/LQA work) with a view to improving the quality OR the efficiency of the services we deliver to customers.
